Right now, our Finance Team is seeing an Accounts Payable Clerk. This role will be responsible for managing the full cycle of accounts payable within our non-profit. This also includes the maintenance of any related records, which consists of all non-salary disbursements. This is a grant funded position and has a projected end date of 12-31-2021. This role will be working entirely on grant related payments.

Primary Responsibilities include the following.  Other duties may be assigned.

  • Open and distribute inner office, postal, email, and drop box mail.
  • Respond to any vendor/employee inquiries.
  • Review coding and approvals on all invoices.
  • Post as necessary Use Tax.
  • Make copies as necessary of invoices for the Accountant Accounts Receivable and Financial Analyst.
  • Daily entry of invoices not processed through Purchasing.
  • Review statements and communicate with vendors any issues or concerns.
  • Review and process credit applications, vendor setups, and maintenance forms.
  • Ensure timely payment within terms.
  • Acquire proper signatures and distribution of checks.
  • Maintain recurring schedules. For example, utilities, lease terms, rent increases, CAM reconciliations, and obtain proper approval.
  • Review and accrue invoices for prior month and recurring charges not yet billed.
  • Review and answer General Ledger questions and make adjustments as necessary.
  • Reconcile the Use Tax.
  • Review and answer questions regarding Accounts Payable Aging Trial Balance.
  • Perform periodic maintenance on the Great Plains System, year-end 1099-Misc. processing, and periodic A/P-related management report generation.


Education and/or Experience:  High school diploma or GED required; two years experience in general bookkeeping and/or computerized accounts payable processing for moderate-sized company preferred.

Computer Skills:  To perform the duties of this job, the employee should be able to operate Microsoft Word and Excel. Experience with Great Plains accounting software is preferred. Must have 10-key data entry skills and be able to type.
